Customer Service Administrator – Golders Green, NW11

An exciting opportunity has arisen for an Customer Service Administrator to join our Client based in Golders Green, NW11

Working as part of an enthusiastic, dedicated and smart working team, you will have responsibility for assisting the Property Managers and carrying the responsibility for all administration work within the lettings and sales departments.

Responsibilities include but not limited to:

  • Making up files for Sales
  • AML Checks on all of the files Sales
  • Preparing Terms and Conditions, New Instructions Letters, Reduction Letters, Offers Letters)
  • Uploading Sales and lettings Properties on Vebra
  • Editing Photos
  • Mail outs on properties Sales and Lettings (Reduction, New Instruction, Back Available)
  • Chasing up documents on sales files, ID’S Utility bills, etc.
  • Dead filing sales and lettings files
  • Sending out the Sales Memorandums to all 4 (Solicitors, purchaser and vendor)
  • Updating the pipeline and keeping track of incoming payments for Sales
  • Invoicing and chasing up payments (EPCs, New Sales and Referrals)
  • Designing and ordering Sold Cards / Let Cards
  • Arranging collections of marketing materials
  • Keeping track of all payments for the leaflets distribution
  • Printing Genuine Requests for Sales and Lettings (New Instructions, Under offer)
  • Keeping the Window Cards up to date both Sales and Lettings
  • Updating Property Lists, Documents in the office
  • Printing out brochures and re filling the files / Sales and Lettings
  • Printing out follow ups for Edward for withdrawn properties
  • Ordering Valuation Packs Materials / Keeping the stock up to date
  • Stationary Orders
  • Refreshing properties Sales and Lettings - Moving photos around on all properties on for sale.
  • Banking and Posting on daily basis
  • Designing brochures through the Guild
  • Designing and Submitting Magazine Pages to the Guild magazine
  • Sending magazines out to potential vendors
  • Google review, requesting and chasing them.
  • Creating and setting up new team members (Email, Phone, Printer, Website, Facebook, Signature, voicemails, etc.)
  • Distributing email enquiries
  • Keeping track of keys (Checking in, checking out, chasing outstanding keys)
  • Dealing with things to do in the office (Printer, Plasma Screens, Computers, Franking Machines, Phones, etc.)
  • Dealing with all technical issues in the office
  • Valuations – booking in, sending pre-valuation letters & packs. 20/20 letters
  • Canvassing – preparing & sending letters
  • Genuine requests – get addresses from hot buyers weekly
  • Boards

The Successful Applicant will need to possess the following skills:

  • Proven track record in property administration
  • At least 1 to 2 years months experience in a similar role within the property industry.
  • Should be confident, well-presented and have excellent communication skills both written and verbal.
  • This is an extremely busy role and needs someone who is highly motivated, passionate about property and capable when working under pressure with the ability to multi-task without compromising on the quality of work or level of service.

The hours will be:                            Monday to Friday 8:45am to 6pm

Salary range will be:                       between £22,000pa to £25,000pa
