A successful property company is looking for a passionate, committed, hardworking and capable Property & Maintenance Coordinator based in Harlow, CM20

As a Property & Maintenance Coordinator you will be  responsible for the ever-increasing portfolio of rental properties, playing a pivotal role in ensuring that our clients receive the customer service they deserve throughout their time with us.

You will be responsible for managing your own portfolio of properties acting as a key contact for our occupants and landlords who require support throughout the duration of their tenancy. You will play a key role in our dedicated team and have full responsibility of managing daily operations within the assigned portfolio.

Responsibilities include but not limited to:

  • Taking on the new properties, and ensure the portfolio is legally compliant by arranging all

certificates, checking required and advisory works, documenting expiry dates and record keeping.

  • Producing tenancy agreements and issuing all statutory documents to our occupants at the time of check in at the property.
  • Scheduling and conducting regular property visits, record, and action findings.
  • Determining financial responsibility for damage and faults, setting up payments with accounts team.
  • Identify safeguarding concerns and referrals to support agencies.
  • Conducting check-ins and check-outs at the property (You may be required to carry these out at short notice and out of core working hours)
  • Notifying utility providers, Council Tax and Council of occupant change overs.
  • Detailed note taking, record all communication
  • Managing incoming communication of maintenance related queries.
  • Organising estimates for repair or maintenance works.
  • Authorising contractors’ works and invoices.
  • Planning and overseeing maintenance work to include full refurbishments, inspections and sign off.
  • Maintaining communication and liaising with Landlords, Occupants, Local Authorities and contractors on a daily basis.
  • KPI tracking and weekly performance reporting to the management team.
  • Attending internal team and progress meetings.
  • Timesheet recording of daily activity.
  • Social media, you will be expected to like comment and share company posts across social media platforms and request feedback and google reviews.
  • Attending monthly (evening) networking events.


The Successful Applicant will need to possess the following skills:

  • Have a competent understanding of lettings legislations, a minimum of 2 years property management experience is essential for this role.
  • Experience from a housing options or social housing background would be an advantage.
  • Substantial experience with Microsoft 365 (excel, word, outlook, PowerPoint).
  • Have attention to detail and be able to finish tasks completely with tenacity and resolve to problem solving.
  • Be self-motivated and able to manage own workload. Ability to prioritise and co-ordinate multiple projects and tasks efficiently.
  • Managing expectations with a calming influence under pressure
  • Demonstrate great verbal and written communication skills.
  • A great note taker (dates, times, facts etc)
  • Strong administrative skills, accurate data entry, document scanning, uploading imagery, file saving and filing.
  • Have the desire to join an organisation and to own the responsibility of the department and be able to grow with the team in this fast-paced environment.
  • ARLA Qualified would be an advantage.
  • Clean Full UK Driving License
  • Have own transport for inspections and visits (mileage paid).


Salary range will be:     

£25,000 to £27,000

The hours will be:                          

Monday to Friday 9am to 6pm
